How we collect, use, and protect your personal information — in plain language.
1. Who we are
This website, financialhub604.com, is operated by Rajni Bala, a sole proprietor doing business as FinancialHub604. Rajni is a Licensed Insurance Advisor regulated by the Insurance Council of British Columbia. In this policy, “we,” “us,” and “our” mean Rajni Bala o/a FinancialHub604.
We are accountable for your personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
2. What information we collect
We try to collect only what we need to help you. Here's exactly what that looks like.
2.1 Information you give us directly
When you fill out a form on this site or contact us by phone, email, WhatsApp, or text, we may collect:
- Your name (first and last)
- Phone number
- Email address
- City or region (optional)
- The type of insurance or financial product you're interested in
- Any details you choose to share in a message field (for example, your situation, your family, your timeline)
If you go on to become a client, we will collect additional information that the insurance carrier requires for your application — date of birth, address, health and lifestyle information, beneficiaries, banking information for premium payments, and similar. Each carrier has its own application form and its own privacy notice; those notices apply alongside this one.
2.2 Information collected automatically
When you visit financialhub604.com, our hosting provider (Netlify) records standard server log data such as your IP address, browser type, the pages you visited, and the date and time. This information is used to operate and secure the website, and is not used to identify you personally.
2.3 Cookies and similar technologies
This website currently uses only essential third-party services that may set cookies in your browser:
- Google Fonts — to load the typefaces used on the site. Google may receive your IP address as part of the font request.
We do not currently use analytics or advertising cookies. If we add analytics in the future (for example, Google Analytics or Plausible), we will update this policy and ask for your consent before any non-essential tracking begins.
3. Why we collect your information
We collect personal information for the following purposes — and only for these purposes:
- To respond to you. If you submit a quote, callback, or contact form, we use your information to reach you and answer your question.
- To compare insurance options for you. When you ask us to find quotes, we share the information needed for an accurate quote with the relevant insurance carriers (for example, BMO Insurance, Canada Life, Desjardins, Destination Travel Group, Equitable Life of Canada, Industrial Alliance / iA Financial Group, Manulife, Secure Travel, and Travelance).
- To send the newsletter. If you subscribe, we send you periodic insurance and financial planning insights for BC families. You can unsubscribe at any time.
- To meet legal and regulatory obligations. Licensed insurance advisors are required to keep certain client records.
- To improve our service. We may use anonymized, aggregated information to understand which pages and topics are most useful.
4. Who we share your information with
We do not sell your personal information. Ever. We share it only in these specific situations:
- Insurance carriers and partners. When you ask us to obtain quotes or place coverage on your behalf, we share the information the carrier needs to provide that quote or policy.
- Service providers we rely on to run the site. Specifically: Netlify (web hosting), Web3Forms (processes form submissions), Google Fonts (typefaces), and WhatsApp/Meta (when you click our WhatsApp link to message us). Each of these providers has its own privacy policy; we encourage you to review them. We share only what's necessary for the service to work.
- Legal and regulatory authorities. Where we are required by law, court order, or by our regulator (the Insurance Council of British Columbia) to disclose information.
- Professional advisors. Our accountants or lawyers, where strictly necessary, under their own duty of confidentiality.
We do not transfer your information outside of Canada except where a service provider listed above stores or processes data internationally (for example, Google's global infrastructure). In all cases, providers are required to apply protections substantially similar to Canadian privacy law.
5. How long we keep your information
- Quote and consultation enquiries that do not become clients: kept for up to 24 months, then deleted, unless you ask us to delete sooner.
- Active client records: kept for the duration of your policy and for at least 7 years after the policy ends, as required for insurance regulatory and tax purposes.
- Newsletter subscribers: kept until you unsubscribe.
- Web server logs: retained by our hosting provider on a rolling short-term basis (typically 30–90 days).
6. How we protect your information
We use reasonable technical, administrative, and physical safeguards to protect your information against loss, theft, and unauthorized access:
- The website is served over HTTPS with modern transport-layer security.
- Form submissions are transmitted directly to our processor and delivered to a secured email account.
- Access to client records is limited to Rajni Bala.
- We review our practices periodically and update them as risks evolve.
No system is perfectly secure, however, and we cannot guarantee absolute security. If you become aware of any security issue with this site, please tell us — see Section 9.
7. Your rights and choices
You have the following rights regarding the personal information we hold about you:
- Access. You can ask us what information we have about you and receive a copy.
- Correction. If something is inaccurate or incomplete, ask us to fix it.
- Withdrawal of consent. You can withdraw your consent to us using or sharing your information at any time, subject to legal or contractual restrictions and reasonable notice. (Note: withdrawing consent may mean we can no longer provide certain services or honour an existing policy.)
- Deletion. You can ask us to delete your information, subject to records we are legally required to retain.
- Unsubscribe from newsletters. Use the unsubscribe link in any email, or email us.
- Complain. If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).
To exercise any of these rights, contact us using the details in Section 9. We will respond within 30 days.
8. Children
This website is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us and we will delete it.

10. Changes to this policy
We may update this Privacy Policy from time to time — for example, when we add new tools, when laws change, or when we refine our practices. For material changes, we will post a notice on the homepage and, where appropriate, email subscribers and active clients.
